The Cygnet Folk Festival offers a limited number of opportunities for festival catering. Priority is given to local community groups who use the occasion for critical fundraising. A few commercially based food outlets are situated inLoongana Park as part of the Festival Market. All catering opportunities for the 2012 Festival are full.

The Cygnet Folk Festival Market is a community market run by the Cygnet Arts Council, a not for profit community arts organisation that aims to provide the Cygnet community with exciting ways to engage with art, craft, performance and cultural events. Proceeds from the market are invested into arts events and activities in Cygnet.The market is run by volunteers.

Stalls at the Festival Market are limited and in high demand. The market runs on both the Saturday and Sunday from approx 9 – 5pm, depending on festival programming in the park.

Stallholder Criteria

The Festival Market gives priority to

  • Locally made, or designed art and craft
  • Food prepared locally using locally grown produce
  • Good quality and innovative objects supporting niche industries
  • Stalls that are well presented.

Market coordinators have the discretion to accept or reject stallholders based on their assessment against the above criteria. Only the goods described and approved on the application form may be sold from the stall. The Festival Market does not support the sale of mass produced, imported or low quality items.

Food Lines

Stallholders are not permitted to sell any food lines unless they have received specific approval from the Market Coordinator. All food related products require appropriate labeling and nutritional content advice in accordance with Council requirements.

Approval will be required from the Huon Valley Council’s Environmental Health Department for any proposed food products to be sold at the Market. This will include consideration of the proposed food preparation methods and location, storage, transport, handling and display procedures on site at the Market. There is a very limited number of food stalls serving food to the public. Priority is given to locals and community groups raising money. If a food site becomes available a notice will be posted on the market page of the Folk Festival website.

Prohibited Goods

Second-hand mechanical and electrical goods such as:

  • chainsaws, brush cutters, mowers;
  • videos, televisions, personal computers, console, computer games and software;
  • household appliances;
  • counterfeit goods such as illegal copies of sunglasses, CDs, DVDs, video tapes

Site Fees

Sat & Sun -$90 (includes overnight security)

Sat or Sun -$45 per day

Site fees will not be refunded or transferred, including for inclement weather conditions or the inability to attend.

Applications close 18th November

Late applications will be accepted on a case by case basis if space is available. Bookings will be confirmed by email. All confirmed bookings must be paid for by 30th December or site will be reallocated. Payment advice is on the application form.

Security

Two security guards will patrol the market site from 7pm – 7am. Stallholders may leave infrastructure up overnight BUT the Cygnet Folk Festival, Huon Folk Inc or the Cygnet Community Arts Council will not in any way take responsibility for any damage or theft that may occur and stallholders leave their site entirely at their own risk. No valuables, stock etc should be left overnight and tarpaulins or the equivalent must cover all open entrances. It is strongly advised that all stallholders have their own insurance. You are not permitted to stay in your stall overnight. Stalls must remain attended at all times during the day.

Not for Profit Stalls

There is a limited number of sites available for local not for profit and community organizations. Application should be made on a standard form and fees will be set or exempted at the discretion of the market coordinator.

Site Size and Allocation

All sites are roughly 3 x 3m. Stallholders requiring larger will need to book multiple sites and pay accordingly. All stall infrastructure, including structures, umbrellas, clothes racks and stock must be of adequate quality and secured to prevent injury to members of the public and fellow stallholders and dismantled if it gets windy. Stallholders must be self sufficient, nothing is provided. Stallholders must confine their goods within the boundaries of their sites and no merchandise shall protrude into the footways or public areas. The market coordinator reserves the right to direct stallholders in both regards.

Set up

Stallholders must wait for market coordinators to show them to their site before unpacking and setting up. There is very limited vehicle access to the site for unloading purposes. Stallholders must literally unpack (not setup) and immediately move their cars. Vehicle access is strictly from 7.00 – 8.30am. Stallholders may unload and load from vehicles from the street.

Pack up

Stallholders may not begin pack up before 4pm, and stallholders must make all reasonable effort to vacate the site as soon as possible. Weekend stallholders must stay with their stalls until security arrives at 7pm on the Saturday.

On site vehicle access to stalls will only be allowed once the market coordinators have deemed it safe. Generally vehicles are admitted about 40mins after the last performance. If you need to leave promptly mention it on your form and your site will be allocated accordingly if possible.

Vehicle Parking

Stallholder parking is not available on site.

Cancellation

Extreme wet and windy weather may force the cancellation of the market. It is an uncontrollable possibility. Market coordinators will only cancel the market if it cannot continue to run safely.

Environment Policy

  • No plastic policy.
  • All packaging must be either recyclable or in biodegradable containers.
  • Stallholders must remove their own rubbish and cannot use the public bins.
  • Sites must be left clean and rubbish free.
  • No animals are allowed within the Market area and no stallholders shall keep, or be permitted to keep an animal on or near his/her stall site.

Buskers

Busking is welcome in designated areas please talk with the market coordinator for a space and time.

Insurance

Stallholders are encouraged to have their own public and product insurance, as neither the Cygnet Folk Festival, Huon Folk Inc nor the Cygnet Community Arts Council takes any responsibility for costs incurred for any reason including cancellation due to bad weather.
